Terms of sale - event registration

This agreement constitutes the terms of the contract between you, a customer of the Royal Society and user of our website, and us the Royal Society.

Please read these terms and conditions carefully before ordering from our site.  You should understand that by making an online purchase on our website, you agree to be bound by these terms and conditions.

Scope

This policy covers online registration for events only. Sales made through the Royal Society’s publishing website royalsocietypublishing.org or venue hire sales are not covered by this policy.

About us
royalsociety.org is a site operated by The Royal Society of London for Improving Natural Knowledge, known simply as the Royal Society.

The Royal Society is a learned society for science. Founded in November 1660, it was granted a Royal Charter by King Charles II as the "Royal Society of London". The Society is governed by its Council, which is chaired by the Society's President, according to a set of Statutes and Standing Orders The Royal Society is based at 6–9 Carlton House Terrace, London SW1Y 5AG.

The Royal Society is registered charity with registration number 207043. It is regulated by the Charity Commission for England and Wales.

Privacy statement for the Royal Society event registration system
When you request information from the Royal Society, sign up to or use any of our services, or attend any of our events, the Royal Society obtains information about you.  This statement explains how we look after that information and what we do with it.

We have a legal duty under the Data Protection Act to prevent your information falling into the wrong hands.  We must also ensure that the data we hold is accurate, adequate, relevant and not excessive.

Normally the only information we hold comes directly from you, or publicly available sources.  Whenever we collect information from you, we will make it clear which information is required in order to provide you with the information or service you need.  You do not have to provide us with any additional information unless you choose to.  We store your information securely, we restrict access to those who have a need to know, and we train our staff in handling the information securely.

We would also like to be able to contact you in future to tell you about other activities, events, and ways in which you might like to support the Royal Society.  You have the right to ask us not to contact you in this way.  We will always aim to provide a clear method for you to opt out.  You can also contact us directly at any time to tell us not to send you any future marketing material.

Very occasionally we carry out a joint mailing with other carefully selected organisations, in order to tell you about events we think you might be interested in.  Again, you have the right to opt out of this.

You have the right to a copy of all the information we hold about you (apart from a very few things which we may be obliged to withhold because they concern other people as well as you).  To obtain a copy, either ask for an application form to be sent to you, or write to the Data Protection Officer at The Royal Society.  There is a charge of £10 for a copy of your data (as permitted by law).  We aim to reply as promptly as we can and, in any case, within the legal maximum of 40 days.

Payment/invoices

Our online payments are processed by RBS WorldPay. We accept MasterCard, Visa Debit and Credit cards and Maestro. We cannot accept American Express or Diners Club cards.

If you request to make a payment by an alternative means, your tickets will be held for 30 days, or until 7 days before the event whichever is soonest. If we do not receive payment during this time we may release your reservation and you will need to rebook to secure your place.

Refunds and Cancellation

Refunds will be given in full if cancellation is made more than 7 days prior to the event you have booked.

If the event you have booked is cancelled by us you will also be entitled to a full refund. Our liability in this case will be limited to the face value of your booking.

Refunds will generally be made in the same form of payment as your purchase.

To cancel your booking and request a refund you can call, email or write to us using the contact details given in your confirmation.

Your statutory rights are not affected.
