What we require and what we can provide

Requirements for exhibitors 

  • Exhibitors must be from academic institutions, industry, or science-related sectors, with innovative and interactive research. The lead applicant should be a senior UK-based researcher 
  • Exhibitors should secure their own funding for exhibit costs, including travel and accommodation, from their institution or other relevant bodies 
  • Exhibits should be engaging, accessible and interactive for a diverse audience
  • Exhibitors are required to have a team available at the stand and engage with the public for the entire duration of the exhibition (Tuesday 30 June – Sunday 5 July 2026)
  • Identify a key point of contact who will work with both their internal teams and contractors (on exhibit design and production, digital, press, staff rota, etc.) and the Royal Society teams (public engagement, facilities, press, digital, etc.) 

Support provided by the Royal Society 

  • The opportunity to connect with tens of thousands of people, in-person and online, from across the UK
  • Exhibit space (standard size of 4m x 2m), plus Wi-Fi, power and IT support if required
  • Advice and guidance, through formal training days, planning events, webinars, and one-to-one conversations between exhibitors and Royal Society staff
  • Advice on funding and post-exhibition evaluation data
  • School days: student visits from London schools and outside of London (travel bursaries provided)
  • Press and marketing campaigns
  • Opportunities to network with selected guests, industry experts, Fellows of the Royal Society, and representatives from the media, government and policy influencers, at two evening Soiree events
  • A limited 'support fund' of up to £5,000 per exhibit is available. Exhibit teams located outside of London will also have the opportunity to apply for additional funding to support team travel and accommodation during the week. These applications will be assessed on a case-by-case basis
